Step 1. Create a list of information you require

Think of all the information you need from your clients to:

  1. determine whether you and the potential client are the right fit, and

  2. be able to contract and work with them.

1. Determining whether your client is the right fit

What information you may require from your clients to determine whether they are the right fit depends on the coaching services you provide. You also want to be the right fit for them.

If you are a fitness coach, for example, you may want to know what your client’s dietary requirements and allergies are so you know whether your meal plan is the right fit for them. You may also want to know whether your clients have any injuries or illnesses that may not make them the right fit for your training program.

If you are a life coach, you want to ensure that your clients’ do not have any mental health issues that require the help of a therapist, psychiatrist or other medical professional. If you are a business coach in a specific niche, you may want to know what type of businesses your clients have and what their pain points are in their business that they may want help with.

If part of your coaching program includes an app that is only available for download on iPhones, you want to ensure that your clients have iPhones and not Android phones.

Think of all the reasons why certain clients may not be compatible with you or your program, and ensure you ask the right questions to avoid any incompatibility.

2. Information for contracting and working with clients

Then, there is practical information you require from your clients regarding their identity and contact details. You will at least want to ask for the following information:

  • First and last name of the client

  • Date of birth

  • Personal address and country

  • Email

  • Any other information you require from your clients for your coaching services

This is all the information you need for your coaching terms and conditions template.

Step 2. Put your questions in a registration form

Now that you have listed all your questions for your (potential) clients, you need to create an online registration form that your clients can fill out and submit. 

If you have a website for your coaching services, you can create a page for your registration form that can be submitted through your website. 

If you do not have a website but want to invest in client management software, you can use a CRM system like Dubsado. You can then just share the link to your registration form with whoever is interested in joining your program.

If you do not want to invest your time or money in a website or a CRM system, you can also use Google Forms to create your own free registration form that you can share with anyone online.

Step 3. Incorporate your coaching terms and conditions template

Now that you have incorporated all your questions in your online registration form, you need to incorporate a link to your coaching terms and conditions template.

And you can’t just insert a link to your coaching terms and conditions template pdf. For your coaching terms and conditions template doc to be legally binding, one major component is to have your clients agree to your coaching terms and conditions template.

Thus, you must include a checkbox in your registration form with a statement next to it stating that the client agrees to those terms (embed the link to the terms AND your privacy policy). Here is an example of a statement you can use: 

“By submitting this application form, I agree to the Coaching Terms and Conditions and the Privacy Policy.”

Embed a link to the Coaching Terms and Conditions in “Coaching Terms and Conditions”.

Step 4. Use a coaching terms and conditions template with the proper wording

Having your clients agree to your coaching terms and conditions template is just ONE of the components needed to have a legally binding agreement with your client.

The second component you need is the correct wording coaching terms and conditions template. Only then will the terms form a legally binding contract between you and your client. More specifically, your terms and conditions must include a clause ensuring that checking the checkbox constitutes an (electronic) signature.

Step 5. Include your privacy policy

A privacy policy is mandatory when you are collecting personal data. As you are asking (potential) clients to share their personal information with you, you must, by law, inform them about how you could use that information.

Thus, you must also embed a link to your privacy policy in “Privacy Policy.”

Step 6. Confirm acceptance of the client (optional)

If just anyone can access your registration form, and you want to ensure that the person submitting the form is the right fit for you before entering into a contract with them as your client, you can make it subject to your approval.

Again, your coaching terms and conditions template should include the proper wording that states that a legally binding contract between you and the client is only formed when you send the client a confirmation of your acceptance or approval. My coaching terms and conditions template includes a clause with such wording.

However, if only certain people that you have pre-approved can sign up through your registration form, you don’t need to make the admission to your program subject to your approval. My coaching terms and conditions template includes an alternative clause that allows for that, too.

Step 7. Get paid

Once your client has submitted the registration form (and you have approved the client), you should get paid!

If your client is not subject to your approval first, you can add a payment link to your subscription form or let the form redirect your client to a payment page upon submitting the form.

If your client is subject to your approval, you can send the client a payment link with your acceptance email.

Always ensure you get paid first before you provide your coaching services to the client or allow your client access to any of the material or information within your coaching program.

That way, you are always ensured of getting paid.
